Organizer, Events
All BP Translation Conferences and other BP events are organized by B+B Mezzofanti Bt., a partnership registered in Budapest, Hungary (Registered seat: Széchenyi utca 8., Budapest 1054, Hungary; temporary VAT ID for business activities carried out in Spain: ESN0285373G), hereinafter referred to as the Organizer or ‘we’ or ‘us’.
Individual events take place on the dates and at times disclosed on this website (BPconf.com). For each event these terms will be updated with specific information as soon as tickets are available.
Tickets for BP Translation Conference and other BP events are available on this website.
Taxation
Prices of tickets and other items are listed without Value Added Tax (VAT).
Wherever a physical, in-person event takes place, we must charge the local VAT. This also applies to remote attendance tickets of events that take place at a physical location. Thus, BP24 Translation Conference will take place in Spain, and Spanish VAT applies.
A reduced 10% VAT rate applies to catering and tourism services, and these are listed as separate items on the invoice. Regular 21% VAT applies to the conference attendance itself.
For physical attendance tickets (conference tickets, workshop tickets, networking dinners) you will need to pay VAT (i) if you purchase your ticket as an individual, no matter where you live; (ii) if you purchase your ticket as a company based in Spain.
Conversely, you won’t have to pay VAT (iii) if you purchase your ticket as a business based in the European Union, but outside Spain, AND you have a valid VAT ID that exists in the EU’s VIES database; or (iv) if you purchase your ticket as a business based outside the European Union. In this case it’s your responsibility to comply with your own country’s tax regulations. In some countries it’s sufficient to state that you’re an individual entrepreneur after your name.
Prices
Prices to all of our services depend on two factors: supply (i.e. capacity) and demand. Physical attendance at our events is limited by seating capacity, and this is reflected in our pricing strategy.
In-person tickets to BP24 Translation Conference: The Early Bird rate applies to the first 120 in-person tickets, or by 2 Februuary at the latest.
Remote tickets to BP24 Translation Conference: The Early Bird rate is valid until 22 March.
Prices for regular and late registration are shown under the ‘Conference prices’ toggle item on the event page. Please note that we reserve the right to modify these future prices without any prior notice.
Prevailing prices are displayed on the event page (BPconf.com/BP24) and on our Shop page (BPconf.com/shop).
Payment
Registration for any BP event is completed once the ticket price is paid in full.
For payment, you may choose any of the following options: (a) direct bank transfer, (b) Wise (formerly TransferWise) and (c) Stripe (for bank card payments).
If you live in the EU, a direct bank transfer (SEPA transfer) may be the easiest/cheapest option. Wise is a cheaper alternative, but this option works only between different currencies. Our Wise account is in HUF, so you can transfer funds from your Wise account if it’s denominated in any other currency, such as EUR, GBP, or USD.
If you live outside the EU, payment by your Visa or MasterCard (using Stripe as a card processor) is probably cheaper.
Bank details and other information to perform the wire transfer or Wise transfer will be provided on a pro forma invoice in a confirmation email once you submit your order. Make sure you include your 5-digit order number (NOT the number of the pro forma invoice) in the comment field.
No other information is needed in the comment field. (Do not include the product description or your name.)
For each event we may publish a payment calendar, clearly indicating the times and dates of any price increases, as well as a closing date of the registration process.
Invoices
We use a web-based invoicing software, Szamlazz.hu, to issue invoices.
All invoices will be issued in English, and all amounts will be in euro (€). All invoices will display the net amount, the VAT amount (if applicable), and the gross amount.
If you pay with your debit or credit card using Stripe, you will automatically receive your invoice.
If you pay via bank transfer or Wise, first you automatically receive an email from our WooCommerce web store with the details of your order, and another email from our invoicing solution with a link to download your pro forma invoice that includes our banking details where you’ll need to send the purchase amount. The funds are supposed to arrive within 4 days. If the funds are not received within 7 days, your order will be cancelled.
Once your payment arrives, you’ll receive your invoice from our invoicing software.
Cancellation & refund
Since March 2020 we all learned the hard way that entire events may have to be cancelled, even in the last minute. For this reason now we have a detailed cancellation policy for all eventualities.
Upgrades
If you initially bought a remote attendance ticket and you wish to upgrade to a physical attendance ticket, 85% of the net amount you actually paid for your remote attendance ticket will count towards your purchase of the physical attendance ticket.
In this case send us an email explaining the situation, and we’ll take it from there.
Downgrades
Until 11 March: If you initially bought a physical attendance ticket, you may request a downgrade to a Remote ticket. In this case you will be refunded the difference between the amount you paid for your physical attendance ticket and the price of the Remote ticket at the time of requesting the refund.
Until 8 April: You may request a downgrade to a Remote ticket, in which case you will be refunded the difference between 50% of the amount you initially paid and the price of the Remote ticket at the time of requesting the refund. (Example: You purchased an ‘Sevilla Premium’ ticket in February for 428€ and you wish to downgrade to a ‘Remote Premium’ ticket on 6 April, and a Remote Premium ticket costs 118€ on this day, you will receive a refund of 214€-118€ = 96€, and you can still attend the event remotely.)
Cancellation of physical attandance tickets
Until 11 March: If you cannot attend the event (BP24 Translation Conference) for personal reasons, you can request a full refund (minus a 30€ handling fee) up to 42 days before the event (i.e. 11 March 2024).
Until 8 April: You can request a 50% refund (minus a 30€ handling fee) up to 14 days before the event (i.e. 8 April).
Until 18 April: If you must cancel your physical attendance due to COVID-19 (you contracted the disease, your flight was cancelled, or your country is listed ‘red’ and you’re supposed to isolate yourself after entering into Spain), you will be refunded the difference between the full amount you paid and the price of the Remote ticket at the time of informing us about this situation. (Using the above example, you’d receive 418€-118€=300, and you can still attend the event remotely.) In all of the above cases you’ll need to back up your request with copies of the necessary documents.
If you need to cancel your physical attendance for other reasons, you’ll be downgraded to a Remote ticket, and you’ll be able to use the difference between 50% of the amount you paid and the price of the Remote ticket at the time of requesting the refund as a credit towards attendance at any future BP events.
From 19 April: (after midnight CET, Thursday, 18 April) No refunds will be paid for any reason, but you’ll still have all the access details for attending the event remotely, so you’ll end up with a Remote ticket.
If the event cannot be held physically
If the event cannot be held physically due to COVID-19 restrictions, we will automatically switch to an online platform.
In this case all physical attendance tickets will be downgraded to Remote Premium tickets, and you will be refunded the difference between the full amount you paid and the price of the Remote ticket at the time of the decision to cancel the physical event.
Remote attendance tickets
Until 18 April: you may cancel your remote attendance at BP24. You will receive a full refund of the amount you paid for your ticket (minus a 30€ handling fee).
After this time, no refunds will be paid on remote attendance tickets.
Video collections
Purchases of access to our video collections cannot be refunded.
Processing refunds
To inform us of your refund request, please write us an email, stating ‘Refund request’ in the subject line. Please include your bank account details, including the bank account holder’s name and address, your account’s IBAN number and your bank’s name and BIC code.
Individual requests will be handled within 2 weeks. In case the physical event has to be cancelled and we’ll need to deal with a large number of refunds, processing the refunds may take up to 8 weeks.
Miscellaneous
Deadlines mentioned above in this section always refer to midnight Central European Summer Time (Amsterdam time).
If an online or an offline event cannot take place due to the Organizer’s fault, you will receive a full refund of your original purchase amount within 60 days of the scheduled starting date of such event.
If an online event cannot take place due to force majeure, we will do all reasonable attempt to hold such event at a later date, within a reasonable period of time.
Payments to hotel rooms at Silken Palace Al-Andalus or any other hotel are handled by individual hotels, and their cancellation terms apply. We cannot be held responsible for any refunds or any payment disputes between the hotel and you.
Flight tickets and other transport tickets: Please check the cancellation policy of your airline or transport company. Many airlines offer COVID-19-related insurance at a small surcharge. We cannot be held responsible for any refunds or any payment disputes between your airline or transport company and you.
Disclaimers
The Organizer reserves the right to change the price of admission tickets to any event and any other service it may offer at any time, without prior notice. However, the Organizer makes all reasonable efforts to announce such such changes in advance.
The Organizer makes all reasonable effort to offer the events as published on this website at the time of your purchasing the ticket to any individual event. The Organizer, however, reserves the right to make changes to conference sessions, content, venue, and restaurants, if these are necessary.
The Organizer is not liable for views expressed by conference speakers or by any conference attendee during the event, in private messages or forums in the event app.
The Organizer reserves the right to record the conference sessions at offline events, or, in the case of online events, on the Zoom platform or any other platform it may use in the future. Such recordings will be available for attendees of individual events for a period of time set out in the description of individual events. Such recordings will be available on Vimeo, a video sharing website.
The Organizer shall not be held responsible for any security breaches caused by Zoom or any other platform or service on the attendee’s computer or mobile device.
Privacy Policy
Upon registration (i.e. payment) to any of our events you will need to fill in several personal details. It will be clearly indicated which of these details will be published on the website in your attendee profile (your name, your short biography, and optionally any links to your social media accounts).
All other details are collected so that we can provide you with a better conference experience and for invoicing purposes. Such other details will never be published, sold, given or transferred to any third party, including conference sponsors, without your consent. Such other details include your e-mail address, your invoicing details, your dietary preferences.
Please note that for the purposes of providing you with the necessary access details and other practical information regarding any of our events, we must be able to send you emails before, during, and for about one month after the event. Make sure you’re properly signed up to our mailing list during this time.
Your login credentials to your BPconf.com account are known only to you, not even the site administrator will have access to these.
In the course of online events, any attendee may appear on screenshots taken in Zoom, and in the course of offline events, any attendee may appear on video recordings or photographs taken at the conference venue, and such screenshots or video recordings or photographs (images) may be used for promotional purposes for future BP events. Such images may be posted on this website, and on social media accounts, notably on Facebook. managed by the Organizer. No attendee will be tagged on any such photos posted on Facebook, and no names will be mentioned.
Screenshots made or photographs taken by other attendees at the Event may be posted on social media. It is each attendee’s personal responsibility to handle such images with respect to the rights of the people appearing on such images.
Information collected in mailing list sign-up forms (notably e-mail addresses) are used solely to send occasional newsletters and other promotional information about our events and other services.
We will never sell, disclose, give away, or make public any e-mails and names collected on such forms.
For the purposes of collecting information collected on sign-up forms and any other forms we use CognitoForms.com, and for the purposes of sending newsletters and promotional messages to e-mails collected on such forms we use MailerLite.com. CognitoForms.com is based in the United States, while MailerLite has all data processing facilities in the EU, and they specifically comply with all data security regulations. Information collected during purchases are processed by WooCommerce.
You may unsubscribe from our mailing at any time, using the Unsubscribe link found at the end of each of our emails sent out from MailerLite.
You may request the deletion of your data from our mailing list by sending us an email about this.
Please note, that we are obliged to keep all invoices for at least 5 years after the issue date to comply with local (Hungarian) regulations, and since we use a web-based invoicing solution approved by the Hungarian tax authorities, we cannot delete your details from this invoicing platform (Számlázz.hu).
Code of Conduct
We are dedicated to providing a harassment-free event experience for everyone, regardless of gender, gender identity and expression, age, sexual orientation, disability, physical appearance, body size, race, ethnicity, religion (or lack thereof), or technology choices. We do not tolerate harassment of event participants in any form. Sexual language and imagery is not appropriate for any event venue, including talks, workshops, parties, Twitter and other online media. Event participants violating these rules may be sanctioned or expelled from the event without a refund at the discretion of the event organizers.
All attendees, speakers, sponsors, exhibitors and volunteers at our events are required to follow the code of conduct. We expect cooperation from all who participate to help ensure a safe environment for everybody.
Harassment includes offensive verbal comments related to gender, gender identity and expression, age, sexual orientation, disability, physical appearance, body size, race, ethnicity, religion, technology choices, sexual images in public spaces, deliberate intimidation, stalking, following, harassing photography or recording, sustained disruption of talks or other events, inappropriate physical contact, and unwelcome sexual attention. Participants asked to stop any harassing behavior are expected to comply immediately.
We expect participants to follow these rules at all of our events and event-related social activities.
All stipulations in this section refer to both online and offline events.
Governing law and jurisdiction
These Terms and Conditions shall be governed, construed, and enforced in accordance with the laws of Hungary. Any and all disputes arising out of or in connection with these Terms and Conditions shall be submitted to the exclusive jurisdiction of the Courts of Budapest, Hungary.
Miscellaneous
Organizer reserves the right to update these Terms & Conditions from time to time. No notification will be sent in the event of such updates and changes.
All times mentioned on this page are in Central European Time (CET). Whenever a deadline is mentioned, it is deemed to refer to midnight CET of that day.
By purchasing a ticket to any of our events or our video collections, you acknowledge the acceptance of these Terms and Conditions.
