Organizer, Event, taxation

BP17 Translation Conference is organized by B+B Mezzofanti Bt., a partnership registered in Budapest, Hungary (Registered seat: Széchenyi utca 8., Budapest 1054, Hungary; VAT ID: HU28523727), hereinafter referred to as the Organizer.

The conference (‘Event‘) will take place over two days: on Friday, 5 May, 2017 and Saturday, 6 May, 2017.

On Friday the Event takes place at Uránia cinema, Rákóczi út 22., Budapest 1084, Hungary, between 9:00 and 22:30.  This day is covered by both a 1-day pass and a 2-day pass. Both passes allow admission of one person to the event premises, all presentations held during the Event, as well as all catering during the Event, including buffet lunch, three coffee breaks and a buffet dinner.

On Saturday the Event takes place at Hotel Aréna, Ifjúság útja 2-4, Budapest 1088, Hungary, between 9:30 and 17:30. This day is covered by a 2-day pass that allows admission of one person to the event premises, including all presentations held during the Event, as well as all catering during the Event, including a buffet lunch, and two coffee breaks.

Tickets for the Event will be available when announced on this website.

Additional events  are priced separately and are not included in the Event ticket. Such additional events include masterclasses on Thursday, 4 May, 2017, sightseeing tours and day trips before and after the Event, as well as evening programs (including a ‘Welcome dinner’ on 4 May, and a ‘Farewell dinner’ on 6 May).

Ticket prices are listed without Value Added Tax (VAT).  Hungarian VAT at 27% is payable on top of all tickets and other purchases by people who purchase their items as individuals. Hungarian VAT at 27% is also payable by individuals and business with a registered address or company seat in Hungary.  VAT is not payable by people who purchase their conference tickets and additional items as companies.  If you purchase your ticket as a business, and your business is registered in a member state of the European Union (other than Hungary), you must provide your valid VAT ID.   All purchases without a valid VAT ID will trigger a 27% VAT.  No VAT ID is required for businesses registered outside the European Union.

Payment

Registration for the Event is completed once the ticket price is paid in full.

As a payment option, you may choose between direct bank transfer, TransferWise, and PayPal / bank card.  If you live in the EU, a direct bank transfer (SEPA transfer) may be the easiest/cheapest option.  TransferWise is a cheaper alternative, but this option works only between currencies; i.e. only if your bank account is denominated in a currency other than Hungarian Forint.  If you live outside the EU, PayPal / bank card may turn out to be cheaper. Please note that a 3.9% surcharge is applied to such payments to compensate for the service charges deducted by PayPal – but this is often less than what your bank would charge for a wire transfer.

If you choose to pay using your bank card (MasterCard or Visa), choose the PayPal option. In this case PayPal acts as a card processor intermediary, i.e. you don’t need to have a PayPal account to effect payment.

Bank details and other information to perform the wire transfer or TransferWise transfer will be provided in a confirmation email once you submit your order.

Invoices

Due to local taxation regulations in force, you will receive up to three different types of documents with your purchase.

If you pay with your bank card or from your PayPal account, you will automatically receive an ‘order receipt‘: this is basically an email to acknowledge your order.  A ‘preliminary invoice‘ will be sent by email within 24 hours of your purchase – this has to be processed manually. This preliminary invoice is almost like an actual invoice, but since you will receive the purchased service only later, the ‘final invoice’ cannot be dated earlier than the Event.

You will receive the final invoice on the conference day. This final invoice will list all the purchased items with a positive sign, the amount already paid with a negative sign, as well as the final payable balance (i.e. zero).  It’s still a moot point whether this final invoice will be printed and given to the attendees in its physical form, or a download link will be sent by email.

If you pay via bank transfer or TransferWise, first you automatically receive an ‘order receipt‘: this is basically an email to acknowledge your order. A ‘payment request‘ will be sent by email within 24 hours of your purchase – this has to be processed manually. This payment request lists all the items purchased, as well as bank account details where you send the purchase amount.  The funds are supposed to arrive within 5 days.  If the funds are not received within 7 days, you will receive a reminder.  If the funds are not received within 14 days, your order will be cancelled.

Once the funds are received, a ‘preliminary invoice‘ will be sent by email within 24 hours of your purchase – this has to be processed manually. From this point on the process is identical with the one for bank cards / PayPal as described above.

Cancellation policy

Tickets purchased are eligible for a refund. The amount of refund is calculated on the basis of the amount actually paid for the services. A 100% refund (minus 35€ processing fee) is paid if the registration is cancelled before midnight on Monday, 20 March, 2017. A 50% refund  (minus 35€ processing fee) is paid if the registration is cancelled before midnight on Monday, 24 April, 2017. No refund is paid after this date.

On advertisement items no refund is paid after 28 February, 2017.  No refund is paid on the ‘BP16 videos’ item.

Allow up to 7 days to process refunds.

Disclaimers

Conference attendees are responsible for their own hotel booking and transport when applicable.

The Organizer makes all reasonable effort to offer the Event as published on this website at the time of your purchasing the ticket to the Event.  Organizer, however, reserves the right to make changes to conference sessions, content, venue, and restaurants, if these are necessary.

The Organizer is not liable for views expressed by conference speakers.

The Organizer reserves the right to allow third-party vendors hired by the Organizer to take photos and shoot film footage during the Event, and use these images and footage in the future for promotional purposes.

Privacy Policy

Upon registration (i.e. payment) you will need to fill in several personal details. It will be clearly indicated which of these details will be published on the website in your attendee profile (your name, your short biography, and optionally any links to your social media accounts).

All other details are collected so that we can provide you with a better conference experience and for invoicing purposes. Such other details will never be published, sold, given or transferred to any third party, including conference sponsors, without your consent. Such other details include your e-mail address, your invoicing details, your dietary preferences.

One notable exception to this is the promotional offer by our media sponsor, MultiLingual magazine. MultiLingual offers a one-year subscription to the digital version of their magazine. On the registration form you’ll see an opt-out box – remove the tick mark if you do not wish to receive their publication. If the box remains ticked, your email will be transferred to MultiLingual before the Event.

Your login credentials will be known only to you, not even the site administrator will have access to these.

Any attendee may appear on photographs taken and videos shot at the Event, and these may be used for promotional purposes for future BP events. Such photographs and videos may be posted on the website of a future event organized by the Organizer, and on social media accounts managed by the Organizer, notably on Facebook.  No attendee will be tagged on any such photos posted on Facebook, and no names will be mentioned.  Photos taken and videos shot by other attendees at the Event may be posted on social media.  It is each attendee’s personal responsibility to handle such photos and videos with respect to the rights of the people appearing on such photos and videos.

By purchasing a ticket to the Event, you acknowledge the acceptance of this Privacy Policy.

Governing law and jurisdiction

These Terms and Conditions shall be governed, construed, and enforced in accordance with the laws of Hungary. Any and all disputes arising out of or in connection with these Terms and Conditions shall be submitted to the exclusive jurisdiction of the Courts of Budapest, Hungary.

Miscellaneous

Organizer reserves the right to update these Terms & Conditions from time to time. No notification will be sent in the event of such updates and changes.
