All about VAT

From a taxation point of view, currently all sales take place from the Netherlands, so the 21% Dutch VAT rate applies.

21% VAT if (a) you purchase as a private individual based anywhere*, or (f) you purchase as a company based in the Netherlands.

No VAT if (g) you purchase as an individual or a company outside the EU, or (h) you purchase as a company based in a EU member state apart from the Netherlands, and you can provide a valid VAT number that’s recognized by EU’s VIES database.

If you purchase as a company outside the EU, it’s your responsibility to make sure you’re eligible for a VAT-free purchase.  Technically speaking, your eligibility will not and cannot be checked on our side, but please make sure you enter a billing name that sounds like a company or at least add the necessary abbreviations after your name to denote you’re an enterpreneur and thus eligible for VAT-free purchase.

Our video collections are further discounted for private individuals to compensate for VAT payment.  So technically we’ll give you a discount, and the VAT added will be the same amount as the discount. Essentially you’ll end up paying the net amount, but technically you’ll pay a discounted net amount plus the VAT.

If you’re eligible for VAT-free payment, the VAT amount will be deducted in the next step, on the Checkout page, after you enter your billing details.

IMPORTANT:  Check the amount calculated BEFORE placing the order. If you’re eligible to VAT-free payment, make sure you select company billing.  If you pay with your card, your payment is final, and it’s not easy to reverse the transaction if you later realize you were eligible to VAT-free payment but you forgot to tick company billing.

If you selected bank transfer or Wise, and you haven’t actually paid yet, simply ignore the existing order and place a new one with the correct details.

On the Cart page you’ll see the total amount includes VAT in all cases.  If you’re eligible for a VAT-free purchase, the net amount will be displayed on the subsequent Checkout page.

If you purchase as a company inside the European Union, enter your VAT number together with the country prefix, without spaces (e.g. DE12345678).  This will be checked against EU’s VIES database, which, in turns, checks national tax number databases.

If your VAT number is returned is invalid, please check if you entered it correctly.

Discounts

 

Students: You’re eligible for a 35% discountUpload your documents here, and you’ll receive the discount code by email.  You need to be a full-time student in the current academic year (or graduated in 2022) AND be under 30 years of age on 9 May 2023 to be eligible.  Recent graduates (graduated in 2021 or 2020) who are under 32 are eligible to a 15% discount.

Please note that the total number of student discount tickets cannot exceed 10% of the number of in-person tickets sold. 

Discounts for members of translators’ associations:  BP Translation Conferences are organised independently from any international, national, or regional associations, and by default we do not offer discounts to members of any particular association. 

In certain cases, however, based on a mutual co-operation with any association, we may offer discounts.

 

 

Terms and conditions

 

Upgrades

If you initially bought a remote attendance ticket and you wish to upgrade to a physical attendance ticket, 85% of the net amount you actually paid for your remote attendance ticket will count towards your purchase of the physical attendance ticket.

In this case send us an email explaining the situation, and we’ll take it from there.

Downgrades

Until 27 March: If you initially bought a physical attendance ticket, you may request a downgrade to a Remote ticket. In this case you will be refunded the difference between the amount you paid and the price of the Remote ticket at the time of requesting the refund.

Until 24 April:  You may request a downgrade to a Remote ticket, in which case you will be refunded the difference between 50% of the amount you initially paid and the price of the Remote ticket at the time of requesting the refund.  (Example: You purchased an ‘Utrecht Premium’ ticket in February for 418€ and you wish to downgrade to a Remote ticket on 20 April, and a Remote ticket costs 118€ on this day, you will receive a refund of 214€-118€ = 96€, and you can still attend the event remotely.)

Cancellation of physical attandance tickets

Until 27 March: If you cannot attend the event (BP23 Translation Conference) for personal reasons, you can request a full refund (minus a 30€ handling fee) up to 42 days before the event (i.e. 27 March 2023).

Until 24 April: You can request a 50% refund (minus a 30€ handling fee) up to 14 days before the event (i.e. 24 April).

Until 4 May: If you must cancel your physical attendance due to COVID-19 (you contracted the disease, your flight was cancelled, or your country is listed ‘red’ and you’re supposed to isolate yourself after entering into the Netherlands),  you will be refunded the difference between the full amount you paid and the price of the Remote ticket at the time of informing us about this situation. (Using the above example, you’d receive 418€-118€=300, and you can still attend the event remotely.)  In all of the above cases you’ll need to back up your request with copies of the necessary documents.

If you need to cancel your physical attendance for other reasons, you’ll be downgraded to a Remote ticket, and you’ll be able to use the difference between 50% of the amount you paid and the price of the Remote ticket at the time of requesting the refund as a credit towards attendance at any future BP events.

From 5 May: (after midnight CET, Thursday, 4 May)  No refunds will be paid for any reason, but you’ll still have all the access details for attending the event remotely, so you’ll end up with a Remote ticket.

If the event cannot be held physically

If the event cannot be held physically due to COVID-19 restrictions, we will automatically switch to an online platform.

In this case all physical attendance tickets will be downgraded to Remote Premium tickets, and you will be refunded the difference between the full amount you paid and the price of the Remote ticket at the time of the decision to cancel the physical event.

Remote attendance tickets

Until 17 April: you may cancel your remote attendance at BP23. You will receive a full refund of the amount you paid for your ticket (minus a 30€ handling fee).

After this time, no refunds will be paid on remote attendance tickets.

Video collections

Purchases of access to our video collections cannot be refunded.

Processing refunds

To inform us of your refund request, please write us an email, stating ‘Refund request’ in the subject line.  Please include your bank account details, including the bank account holder’s name and address, your account’s IBAN number and your bank’s name and BIC code.

Individual requests will be handled within 2 weeks. In case the physical event has to be cancelled and we’ll need to deal with a large number of refunds, processing the refunds may take up to 8 weeks.

Miscellaneous

Deadlines mentioned above in this section always refer to midnight Central European Summer Time (Amsterdam time).

If an online or an offline event cannot take place due to the Organizer’s fault, you will receive a full refund of your original purchase amount within 60 days of the scheduled starting date of such event.

If an online event cannot take place due to force majeure, we will do all reasonable attempt to hold such event at a later date, within a reasonable period of time.
