The official BP17 shopping guide

This article walks you through the shopping process to make sure you’re happy with your purchase. If you’re here, you have most probably seen the conference programme for 4 May, 5 May, and 6 May.

You probably know that basically there are two types of conference tickets: a 1-day pass allows you to attend Friday only (5 May), whereas a 2-day pass allows you to attend both Friday and Saturday. Friday dinner is included in both types of tickets.

In addition, there are several other items, including dinners, masterclasses, day trips, walking tours, BP16 videos, as well as advertising in the conference magazine.

Brief overview

You can purchase your tickets in the conference webshop, under the Tickets menu.  Here you will see all the possible items, sorted in a logical order, with similar items grouped together.

All items, including dinners and walks, are named ‘BP17 Conference – Module xx’, and will appear as such on your invoice: this means you can claim these as expenses spent on professional development.

Next step: view your cart. Here you will see a number of coupon codes: certain combinations of products may be purchased at some discount. You will also see some recommended additional products you may be interested in.

At this point the grand total amount includes VAT for everyone.  Once you’re on the Checkout page, and you purchase your items as a business with a valid VAT ID, the VAT disappears from the grand total amount.

You can choose from three possible payment methods: bank transfer, TransferWise, as well as bank card / PayPal.   A detailed description of each of these methods will be described soon.

You will receive your invoice by email, together with a link where you can create your attendee profile.

Now you’re all set – but please don’t forget to make your travel and hotel arrangements.

Conference tickets and dinners

The 1-day conference pass allows you to attend the short talks on Friday at cinema Uránia downtown Budapest. The ticket includes catering all day: lunch, coffee breaks, and dinner.  The 2-day pass allows you to attend both conference days. This includes dinner on Friday at the cinema, as well as lunch and coffee breaks on both days.

Both types of tickets may be purchased with two additional dinners, i.e. a welcome dinner on Thursday (4 May), and a farewell dinner on Saturday.

All three dinners are also available as individual items, allowing you to invite your partner for the dinners only.  The ‘dinner3’ coupon code gives you 3€ off any additional dinner item if the total purchase amount is at least 250€ net (including the dinner item itself). For example if you purchase a 2-day pass for 264€, and you want to add the welcome dinner for 45€, you end up paying only 306€ instead of 309€.  The code is valid for up to 3 additional dinners per purchase. (All prices listed without VAT.)

With the new ‘more15’ coupon code you can get 15€ off any number of two-day passes if you spend at least 528€.  That essentially means you get back to the Early Bird price if you buy at least two ‘full packages’ in a single purchase. (A ‘full package’ is a 2-day pass plus two additional dinners, priced at 354€ each.).  The discount also works if you buy a 2-day pass for yourself and buy additional items such as masterclasses or day trips. (For example: you select a 2-day pass for 264€, a masterclass for 130€, the farewell dinner for 65€, a day trip for 69€: that’s a total of 528€.  Apply both ‘more15’ and ‘dinner3’ codes, and you end up paying only 510€.) (Plus VAT if applicable.)

Masterclasses

Masterclasses on Thursday, 4 May are not covered in the conference tickets.  Tickets for each masterclass include catering during a coffee break.  The early bird prices below are valid for the first 10 tickets only in each masterclass.

Lunch is not included, but is available at the hotel restaurant. A 3-course set menu costs 22€ + VAT. You can choose between vegetarian, poultry, and beef options: please indicate your choice in your profile form’s comment field (you’ll receive a link to this after payment). The hotel cannot guarantee a lunch between the masterclasses if you do not order it in advance.

Advertising + BP16 videos

A record number of attendees are expected to attend BP17. Also, for the first time, the conference booklet will also published as an e-book to reach a much wider audience still. The publication will include not only the conference programme per se, but also several articles.

You can advertise in the A/4 format magazine at a discounted price until Friday, 17 February, after which date advertising will be more expensive. More on this magazine here.  Advertising options start at 150€ for a quarter-page ad.

If you attend BP17, now is a good chance to watch BP16 videos at a discounted price. 26 recorded and edited conference sessions on relevant subjects.  Read more about the videos here.  There will be two coupon codes for purchasing the videos.  Code ‘vid20’ gives you a 20€ discount if your total purchase amount is at least 210€ (e.g. you buy a 1-day pass for 139€, and you add a walking tour for 20€ and the videos for 60€, then you apply the ‘vid20’ coupon code, you end up paying 199€ instead of 219€.).  Coupon code ‘vid40′ gives you a 40€ discount if your total purchase amount is at least 600€, so you can add 26 x 50’ videos for just 20€.

Day trips + walking tours

To get the most out of your time in Budapest (and Hungary), it’s a good idea to go on a walking tour in Budapest or on a day trip in the countryside.

There are two coupon codes you can use here.  Price of the 2-day trip before the conference is 229€ + VAT (all-inclusive), assuming a single room at the overnight stay.  You’ll get a 20€ discount with the code ‘double20’ if you share a room with someone else.  If you bring along your partner, simply add the day trip twice, and the coupon code will give you a total of 40€ off.

If your total purchase amount is at least 670€, you can get a free walking tour of your choice (except for the ‘Gastro’ walking tour).  For example if you buy the ‘full package’ (2-day conference pass with 2 extra dinners) for 354€, a masterclass for 130€, add BP16 videos for 60€, you add two day trips for 69€ each: that’s 682€ so far: if you add an evening walk with a boat ride for 28€, the total would be 710€. If you apply both the ‘vid40’ and  the ‘walk’ coupon codes, you’ll get the videos for only 20€, and the walk for free, so instead of 710€ you end up paying 642€ only.

Coupon codes

Multiple coupon codes may be used with each purchase, as applicable. For example, you want to add a farewell dinner for your spouse, buy the BP16 videos, and you decide to stay in a double room during the 2-day trip: in this case you simply list all the necessary codes: dinner3, vid20, double20.

As a reminder, the codes are also displayed on the ‘Cart’ page of the webshop.

The shopping and registration process

Select your items in the webshop

You can purchase your tickets in the conference webshop, under the Tickets menu (bpconf.com/shop). Here you will see all the possible items, sorted in a logical order, with similar items grouped together and colour coded, as seen above.

You will see a detailed description of each item by clicking on it.  Once you’re happy with the range of selected items, you proceed to the next step: View your cart.  You can click on a ‘View Cart’ link right next to the item most recently added, and there’s also a ‘View Cart’ link at the top of the webshop.

View your cart and apply your coupons

In this step you can have an overview of what items you selected for purchase.  You can still return to the webshop by clicking on ‘Continue shopping’ at the top.

You will see a reminder of all possible coupon codes here. Apply any coupon code on this page.

At the bottom left corner of the page you will see some additional items you might be interested in. You can still add these at this point.

At this point the grand total includes VAT for everyone.  Once you’re on the Checkout page, and you purchase your items as a business with a valid VAT ID, the VAT disappears from the grand total amount.

Once you’re happy with the content of your cart, click on ‘Proceed to checkout‘.

Checkout page and your billing details

You’ll need to provide your billing details on this page.  If you purchase your items as a business, you will not be charged VAT.  If you have a business registered in the European Union (except for Hungary), and you provide a valid VAT number, the VAT amount will be zero. The system checks your VAT number against the VIES directory.  Make sure you enter your VAT number without any spaces.

If your business is registered outside the European Union, there’s no validity check.

If you are based in Hungary, whether as an individual or a registered business, you’ll need to pay VAT – obviously you can claim back the VAT amount if you purchase the items as a business.

Payment and invoices

You can choose one of three payment options.  Each of these are described below in detail.

Bank transfer

Shortly after you place your order, you will receive an ‘order receipt’ by email to confirm your purchase. You will also receive your pro forma invoice in a separate email.  The necessary banking details will be shown on the payment page, as well as on the pro forma invoice.  You will have 5 days to send your payment by bank transfer.  If you’re based outside Hungary, you’ll transfer the amount to a EUR account.

If you’re based in Hungary and you pay from a local bank account, you’ll see the invoice amount converted to HUF in small print: please transfer this HUF amount to our HUF bank account.

Once the transferred funds arrive, you’ll receive a ‘deposit invoice‘ by email.  This one still shows a payment date, but the small print at the bottom of the invoice says ‘Invoice already paid’.

Since the conference takes place only on 5 May, but you paid for the services in advance, we’ll have to issue a separate ‘final invoice’ as well, dated 5 May.  This ‘final invoice‘ will list all the items purchased, as well as the amount already paid with a negative sign, leaving you a payable balance of zero.  This may sound complicated, but we’ll have comply with taxation regulations.

This option will be available only until Friday, 14 April.

TransferWise

TransferWise is a low-cost alternative to traditional bank transfers.  The only trick is that the originating currency must be different from the target currency.  For practical purposes you’ll transfer funds to a HUF account, which means you’ll be able to use TransferWise if your country has EUR, USD, GBP, CZK, PLN, DKK, and several other currencies.

Shortly after you place your order, you will receive an ‘order receipt’ by email to confirm your purchase. Paypal / Visa / Mastercard

The process with payment option is different from the above, since your payment arrives immediately. Please note that a 3.9% surcharge applies in this case as a compensation for PayPal charging BP Translation Conferences for using their services.

Once you choose this option, you’ll be taken to PayPal’s website where you can choose whether you pay from your PayPal account or your bank card. This means you don’t need to have a PayPal account.

Once you paid, first you receive a pro forma invoice.  This shows a payment date 5 days from the current date, but don’t bother about it.  You will receive your ‘deposit invoice‘ within 24 hours, most probably within 6 – this one has to be sent out manually. This deposit invoice still shows a payment date, but the small print at the bottom of the invoice says ‘Invoice already paid’.

Since the conference takes place only on 5 May, but you paid for the services in advance, we’ll have to issue a separate ‘final invoice’ as well, dated 5 May.  This ‘final invoice‘ will list all the items purchased, as well as the amount already paid with a negative sign, leaving you a payable balance of zero.  This may sound complicated, but we’ll have comply with taxation regulations.

Invoice comments

You may see three different types of comments in small print at the bottom of the invoice.

‘Megjegyzés’ – this means ‘Comment’ or ‘Remark’

‘Invoice already paid’ – well, this one doesn’t need any explanation.

‘Áfa-törvény területi hatályán kívül eső szolgáltatás’ – ‘Service outside the scope of the VAT law’: this is displayed when you purchase your items as a business.  This remark is necessary in the event of any tax audit in Hungary.

‘Közvetített szolgálatást tartalmaz’ – ‘Includes mediated services’: this is displayed for almost all items, except advertisements and the BP16 videos.  If a particular item involves any catering, this comment needs to be shown on the invoice.

Payments within Hungary

If you’re based in Hungary, the cheapest form of payment is bank transfer.  The pro forma invoice (‘díjbekérő’) includes the invoice amount converted to Forints at the National Bank’s official exchange rate effective on that date.  The automated confirmation email includes the HUF bank account where you can send your transfer.   Once the amount appears on our bank account, you’ll receive a deposit invoice (‘előlegszámla’).

If you’re based in Hungary, you’ll have to pay VAT. Obviously if you purchase your ticket as a business within the scope of VAT payments, you can claim back the VAT amount.  If you’re outside the scope of VAT payments (‘alanyi áfamentes’), you still have to pay the VAT, and you cannot claim it back.

Registration

Now that you have paid for the conference, you can set up your attendee profile.  In the confirmation email you will receive a link where you do this.  Basically you’ll have a user account on this website: in this user account you can upload a profile photo, you can write a short bio about yourself, as well as publish some links to your website and social media accounts.

Some information will be used to create your conference badge.  You’ll see above each section whether the information you provide there will be published on the website, under the Attendees tab, or printed on your badge.

You can also specify any special diet here (not published anywhere).

We’ll ask for your permission to publish your profile – you may opt out if you like.   By default you’ll receive a 1-year digital subscription to the MultiLingual magazine, our media sponsor – again, you may opt out of this offer.

Travel and hotel arrangements

Each conference attendee is responsible to take care of their travel arrangements to and from Budapest. Also, this is a good time to book a room at the conference hotel, or perhaps team up with a few colleagues and rent a holiday apartment together.

Start networking

While the principal means of communication remains BP17’s Facebook event page, registered attendees will also receive invites to Slack, where we’ll have our dedicated chat room.  Here we’ll have several ‘channels’ where we can discuss practical details such as room sharing, taxi sharing, or general chat.
